Terms and Conditions: YVP Online Academic Tutoring Program
By completing your purchase and enrolling in the Your Virtual Partner (YVP) Online Academic Tutoring Program, you signify your agreement to these terms and conditions. This agreement governs the professional relationship between YVP, the student, the parent or guardian, and the assigned tutor.
1. Programme Structure and Service Provision
YVP provides a platform for connecting students with qualified tutors. By enrolling, you agree to the following operational structure:

Session Duration: Each standard tutoring session is 60 minutes (1 hour) in length.

Tutor Selection: You have the autonomy to select your preferred tutor. YVP facilitates the connection, but the pedagogical approach is determined by the tutor in collaboration with the student's needs.

Prerequisite (IXL Learning): Our tutoring methodology relies on the IXL Learning Framework. All students are required to maintain an active IXL account to participate in this programme. This tool is essential for our tutors to assign targeted practice, monitor real-time data, and bridge individual learning gaps.
2. Onboarding and Assessment
To ensure the highest quality of instruction, all first-time subscribers are entitled to a 30-minute complimentary introductory call. This session is mandatory for new enrolments to serve as a critical assessment phase. During this call, the chosen tutor will:

Get to know the student’s academic goals and personality.

Assess the student’s current proficiency and learning style.

Develop a personalised teaching roadmap to be implemented in subsequent sessions.
3. Pricing, Payments, and Offers

Standard Rates: The standard rate for a single tutoring session is $44 AUD per 1-hour session.

Double-Session Discount: We encourage consistent learning through our "Book 2" offer. If you book two sessions simultaneously, the rate is reduced to $33 AUD per hour, totaling $66 AUD for the pair. This provides a total saving of $22 AUD compared to individual session bookings.

Billing: All payments must be processed in advance of sessions to secure your preferred tutor’s time slot.
4. Progress Reporting and Accountability
We are committed to transparent communication and keeping you involved in your child's success:

Fortnightly Catch-Up Meetings: Following the completion of every 4 sessions, or on a fortnightly basis, your tutor will schedule a progress report meeting with the parent or guardian.

Purpose: These meetings are designed to discuss the student’s performance, celebrate achievements, identify areas for improvement, and adjust the learning plan as necessary to ensure steady academic growth.
5. Cancellation and Rescheduling Policy
We respect the value of both our tutors’ time and your family’s schedule.

Notice Period: All cancellations or requests for rescheduling must be submitted at least 24 hours in advance of the scheduled session.

Late Cancellations: If a session is cancelled or rescheduled with less than 24 hours' notice, the session fee remains fully payable to compensate the tutor for their reserved time.

Late Rescheduling Agreement: If both the client and the tutor mutually agree to reschedule a session within the 24-hour window, the session must be rebooked at the earliest possible opportunity to ensure continuity in learning.

Tutor Unavailability: Should your selected tutor become unavailable for a scheduled session, YVP will provide you with the option to transfer to another qualified available tutor. If you prefer not to work with an alternative tutor, YVP will facilitate rescheduling with your original tutor.

Exceptions: We acknowledge that genuine emergencies occur. YVP handles such instances with reasonable flexibility at the discretion of the administration.
6. Attendance and Technical Interruptions

No-Show Policy: If a student does not join the online session within 15 minutes of the scheduled start time, the tutor will consider the session a "no-show." The session will be marked as completed and the fee will be forfeited.

Technical Connectivity: We require a stable internet connection and a working webcam and microphone. If a session is interrupted due to the student's hardware or internet issues, the time lost will not be compensated or extended. If the interruption is on the tutor’s side, the lost time will be credited or made up at no additional cost.
7. Conduct and Zero Tolerance

Professional Environment: All parties (Tutor, Student, and Parent) agree to maintain a professional, respectful, and encouraging demeanor during all interactions.

Zero Tolerance Policy: YVP maintains a zero-tolerance policy regarding harassment, bullying, abusive language, or inappropriate behavior. Any conduct of this nature from a student or parent toward a tutor will result in the immediate termination of the tutoring agreement without refund.
8. Session Recordings and Privacy
For the purposes of quality assurance, safety, and educational review, all tutoring sessions are recorded.

Ownership: These recordings are the proprietary property of YVP.

Access: Access is strictly limited to authorised YVP administration, the assigned tutor, and the registered parent or guardian of the student. Recordings are not for public distribution and are used solely to enhance the learning experience.
9. Termination of Service

Client Termination: You may cancel your subscription at any time. However, to avoid being charged for the next billing cycle, cancellation requests must be submitted at least 5 business days prior to the next scheduled payment date.

YVP Termination: YVP reserves the right to terminate services if there is a breach of these Terms and Conditions or if the tutor-student relationship is deemed non-viable after attempts to rectify the situation.
10. Liability and Disclaimer
YVP strives for the highest quality of service; however, we are not responsible for technical disruptions, platform outages beyond our direct control, or the specific academic outcomes of the student, as academic success relies on the student's active engagement and completion of independent practice.
11. Non-Solicitation and Private Engagement
To maintain the professional integrity and sustainability of our platform, the following restrictions apply to the engagement of YVP Tutors:

Direct Engagement Prohibited: You agree not to hire, contract, or engage any YVP Tutor for private tutoring services outside of the YVP platform while the Tutor is actively contracted or employed by YVP.

Post-Separation Restriction: In the event that a Tutor resigns or ends their contract with YVP, you agree not to engage that Tutor for private services for a period of one (1) year (12 months) following their official date of separation from YVP.

Reporting: All session bookings, communications, and payments must be conducted exclusively through the YVP platform to ensure safety, recording quality, and administrative support. Any attempt by a tutor to solicit private payments or sessions should be reported to YVP administration immediately.
